AI content production: a workflow for your team
Many marketing teams already use AI, but without a system: everyone works with their own prompts, quality varies and in the end a lot of it sounds the same. An AI content workflow defines who produces what with which tools, according to which rules, and who approves it. AWEO sets up this workflow with you and trains your team in it.
Updated:
Typical starting point
- The team experiments with AI tools, but everyone in a different way.
- There is no shared quality standard and no guideline on what is allowed.
- AI copy and images look generic and not like your brand.
- Nobody knows exactly where AI saves time and where people remain indispensable.
What we build together
- 1
Inventory
What content does your team produce today, with what effort and for which channels? This shows where AI helps most.
- 2
Brand rules for AI
Tone, terminology, visual world and exclusions are written down so that they can be used directly in prompts.
- 3
Prompt library
Tested templates for recurring tasks such as social posts, product copy, campaign images or video scenes.
- 4
Approval and quality control
A clear checklist of who reviews content before it is published: facts, brand, rights, labelling.
- 5
Training
Your team learns the workflow with its own examples instead of demos and then produces independently.
- 6
Fine-tuning
After the first weeks in use, we check what works and adjust templates and rules.
Where AI helps and where people decide
| Task | AI handles | People decide |
|---|---|---|
| Ideas and variants | many suggestions in a short time | selection and direction |
| Images and video scenes | generation according to fixed rules | visual world, approval, details |
| Copy | drafts, variants, translations | facts, tone, approval |
| Series work, e.g. product images | processing large volumes | specifications, spot checks, difficult cases |
Why fixed rules matter more than the best tool
Tools change quickly. What remains are your rules: How does the brand speak? Which visual language fits? What is off-limits? In our own productions we record such rules in a continuity bible that every prompt repeats. The same principle works for your team.
A good set of rules is short enough to be read and specific enough to be applied directly. Instead of “high-quality and modern” it says, for example, “soft daylight, no logos, no exaggerated facial expressions”.
Frequently asked questions about the AI content workflow
What is an AI content workflow?
A defined process in which AI tools, templates and human review steps work together, so that content is created faster and still fits the brand.
Which teams is this suitable for?
For marketing and communication teams in SMEs, public administrations and agencies that regularly produce content, whether copy, images or videos.
Which AI tools do you use?
That depends on your tasks and requirements, for example regarding data protection and licences. We use current image, video and text models and switch when a better tool becomes available.
